VACATION AND ABSENCE PLANNING

The allocation and approval of leave play a major role in the social peace within a company. Personal aspects must be taken into account, e.g. school vacations for employees with children. Furthermore, there needs to be a fair shift allocation on holidays such as Christmas, through both an annual
pre-planning process and late requests. Operational processes need to be assured at all times and this must also be taken into account when allocating leave.

REQUEST VACATION DIGITALLY

In WorkforcePlus, employees can request their leave digitally – on the job or from their cell phone. Based on the data stored in the system, they can tell in advance whether approval is likely. Schedulers and supervisors approve leave via mobile views or on the computer. Employees can always see the status of their leave requests. Other time off entitlements are also taken into account as part of absence planning, e.g. time off in lieu or compensation days.

TRANSPARENT VACATION ALLOCATION

Schedulers receive all the information they need to allocate leave. The system displays vacation entitlements and remaining leave days and checks the company-specific regulations for vacation allocation. Minimum availabilities or maximum limits are stored for each section and role. Company-specific vacation allocation rules are parameterized, and any rule violations are displayed by the system.

INTEGRATION WITH OTHER PROCESSES

Vacation and absence planning is fully integrated with the other workforce management processes, demand planning, and scheduling. Vacation accounts and vacation entitlements can be calculated based on the integrated time management in WorkforcePlus or obtained from third-party systems. Reporting provides transparency regarding vacation usage, remaining vacation entitlements, and vacation expiration.
